A back-office assistant for a kitchen fitter

The problem

An independent kitchen fitter does several jobs at once: salesman, craftsman, manager. But first and foremost, he's a creative who imagines and designs kitchens. The office work, meanwhile, is exhausting: emails to handle between clients, suppliers and after-sales, quotes to follow up, invoices to file, orders to track.

Everything lives in his head and his inbox. The day he's swamped, a quote doesn't get followed up or an after-sales request waits. And the management software on the market asks him to change how he works, when all he wants is for the paperwork to get done.

The morning brief

At 7:30 am, a summary is waiting: urgent items, quotes to follow up, this week's installations.

Emails sorted, replies ready

Every email is categorised (prospect, client, after-sales, supplier, urgent) and summarised. A reply is drafted in his own style. He reads it, tweaks a word, sends it.

An actionable dashboard

All his jobs at a glance, today's priorities already worked out, and every action one click away.

Documents that file themselves

Quotes and invoices from his business software, supplier invoices received by email, job-site photos: each one lands in the right client file, with no extra step.

The phone as a remote control

After a call, he dictates "the client approves, installation moved to the 15th". The file is updated and the confirmation email is ready.

  • Start from the real workBefore building, follow a real project from first contact to installation, and a real after-sales case. That's where the unwritten rules hide.
  • Measure before buildingTime spent on email, volume, forgotten follow-ups. Without a baseline, there's no way to prove the gain, or to see when it isn't working.
  • AI prepares, the craftsman approvesThe tool prepares drafts, but it isn't allowed to send an email. The craftsman adjusts it if needed and sends it.
  • A single source of truthA dashboard of all his activity, live and interactive.
  • Don't replace what worksHis quoting and invoicing software stays the reference. We file his PDFs and read them.
  • Social mediaOn a job site, he takes photos. The assistant prepares the posts; all that's left is to publish them.
